AI that works the wayyour office does.

Lead follow-up, answers from your own documents, file review, reporting, and the repetitive work nobody has time for—built around your rules, systems, and data.

What makes an AI project worth building?

Usually, it starts with one job your team does over and over—answering new leads, reviewing files, finding information, pulling numbers, or preparing the same kind of work again and again.

We learn how that job works today, then build AI around your rules, documents, and systems. Together, we decide what it can handle on its own and where a person should stay involved.

Decide exactly where AI stops and a person takes over.

You choose, step by step, what can happen automatically and what requires approval. Client communication, contracts, payments, bookings, or other consequential actions can wait for the right person before anything happens.

Hi, is 418 Bayview still available? We’d love to see it this weekend.

It is. I can show it Saturday at 11:00 or 2:30. Which works better?

2:30, please.

You’re set for 2:30 on Saturday. Maya will meet you there.

  • It works from your rules

Responses and decisions can use the approved documents, policies, hours, and guidance you give it.

  • It asks before consequential actions

Sending, booking, changing records, or taking other important actions can wait for approval.

  • It keeps an audit trail

Messages, decisions, approvals, and actions can be logged so your team can see what happened.

Where custom AI can help

These are common starting points. The right project usually comes from a repetitive job that already has clear inputs, rules, and an outcome your team can recognize.

Leads

Follow-up that follows your rules

Respond to new inquiries, ask the questions your team would ask, offer the right next step, and hand the conversation to a person with the context already summarized.

  • Use your wording, hours, and qualification rules
  • Ask the questions you choose
  • Hand off with the conversation summarized
Knowledge

Answers from your own documents

Make policies, procedures, market knowledge, past work, and internal reference material searchable in plain English—with the source behind each answer.

  • Answer from approved company sources
  • Show where the answer came from
  • Respect existing access and permissions
Files

File and deadline checks

Review files against your checklist, flag missing information or conflicting dates, and surface deadlines before they become problems.

  • Check against your own requirements
  • Surface missing or conflicting information
  • Alert the right person before a deadline passes
Numbers

Answers without the spreadsheet

Ask business questions in plain English and pull the answer from the systems where the numbers already live—without manually rebuilding the report every time.

  • Ask questions in normal language
  • Combine information from multiple systems
  • Schedule recurring summaries when useful
Recruiting

Recruiting, with the homework done

Bring production, market, recruiting, or other available data together so your team can spend its time on the people worth a closer look—not assembling the list.

  • Bring recruiting signals into one view
  • Prioritize who deserves attention
  • Prepare outreach for a person to review
Anything else

The job nobody has time for

If your team repeats the same process all week, there may be a useful AI project hiding inside it. Show us how the work happens today and we’ll tell you whether automation is practical—and whether it’s worth building.

What to expect from an AI project

Every project is scoped with you and quoted in writing before any work starts.

  1. 01
    Scoping call

We choose the job, walk through how it works today, and define what a successful result looks like.

  2. 02
    Written quote

Scope, deliverables, price, timeline, data sources, and permitted AI actions are documented before you commit.

  3. 03
    Design the workflow

We map the rules, inputs, exceptions, approvals, and handoffs with your team.

  4. 04
    Build and test

We test against real examples and edge cases before the system touches live customers or business processes.

  5. 05
    Launch and tune

We launch with your team, watch how it performs in real use, and refine it where needed. Any ongoing care is priced separately.

Start a project

What every custom AI project comes with

  • A fixed price before we start

Scope, deliverables, timeline, and price are agreed in writing before work begins.

  • Clear ownership

Your data remains yours, and ownership of project-specific code, documentation, and other deliverables is defined clearly in the agreement.

  • Human control where it matters

Approvals and handoffs can be built into any step where your team should make the final decision.

  • Built around what you already use

You don’t need a Broker & Agent website or Workspace account. We can work around your existing CRM, software, documents, and processes.

You may not need a custom project. Workspace already includes an AI assistant, document answers, automations with approval steps, CRM access from Claude and ChatGPT, and other AI features. If the job you need is already covered, we’ll point you there instead of building it again.

Questions,answered.

01

Which AI do you use?

It depends on the job. We choose the model and tools based on what the project actually needs—things like accuracy, speed, privacy, cost, document handling, or tool access.

We explain what we recommend and why before the project starts, and we design the solution so you aren’t unnecessarily locked into one AI provider.

02

Can the AI act without our approval?

Only where you explicitly choose to let it. During design, we decide which steps can run automatically and which should wait for someone on your team.

Actions involving clients, contracts, payments, bookings, or other important changes can require human approval before anything happens. Actions are also logged so your team can see what the system did.

03

Is our data used to train AI models?

Broker & Agent does not use your project data to train AI models. When outside AI services are needed, we choose business-grade services and configurations designed to keep that data out of general model training, and we explain what data goes where before the project starts.

04

What ongoing costs should we expect?

The project itself is quoted at a fixed price. Ongoing costs—such as AI usage, hosting, data services, or other third-party tools—depend on what the solution uses and how often it runs.

We estimate those costs before the build starts and list them separately, so you can see what’s one-time and what will continue month to month.

05

Can it work with the CRM we already use?

Usually, yes. If your CRM provides an API, webhooks, or another reliable way to exchange data, we can often build the AI around the system your team already uses.

We confirm what your CRM supports during the scoping call and include any integration requirements or limitations in the written quote before work begins.

06

Do we need Workspace?

No. Custom AI projects can be built around the CRM, software, documents, and processes your team already uses.

If you do use Workspace, we’ll first check whether its built-in AI, automations, document tools, or integrations already solve the problem. If they do, we’ll point you there instead of quoting custom work.

Tell us about the project.

Tell us what you want the system to do, what tools and data you use today, and how the work happens now. We’ll talk it through with you and send a written scope and fixed quote before anything starts.
